How the calculation works
- Sessions held = weeks worked × sessions per week × (1 − no-show rate)
- Gross revenue needed = take-home income ÷ (1 − tax rate) + business expenses
- Fee per session = gross revenue needed ÷ sessions held
Choosing realistic inputs
- Weeks worked: subtract vacation, holidays, sick days and continuing education. 44 to 48 is typical.
- Sessions per week: most full-time private-practice therapists hold 18 to 25 client sessions a week.
- No-show rate: if you do not track it yet, 5% to 10% is a reasonable starting estimate.
- Expenses: include software, rent, insurance, licensing, marketing, accounting and retirement.
