Why counselors outgrow separate tools

Counselors in private practice often juggle a scheduler, a forms service, a card reader, a reminder service and a spreadsheet, plus a separate template for superbills. Group clients and individual clients end up in different places, consent forms are tracked by hand, and every tool adds its own monthly fee.

Prexella keeps one record per client, whether they come to an individual session, a weekly group or both. The booking creates the client, forms are signed in the portal, sessions appear in one calendar, payment attaches to the session, and the superbill is built from sessions that already happened. It is designed for private-pay and out-of-network counseling practices, and for counselors who want their practice, not a software vendor, to be the name clients see.

Built for counselors

Three workflows cover most of a counselor's week. Here is how each runs in Prexella.

Workflow 1

Intake and informed consent signed before the first session

A new client books online and is guided straight into the client portal, where your intake form, informed consent, telehealth consent and privacy notice wait to be signed. Each signature records the typed name, the drawn signature, a timestamp, IP address and device, so you have an ESIGN and UETA audit trail without printing anything.

Workflow 2

Group counseling alongside individual clients

Offer a weekly group as its own session type with its own fee, next to your individual sessions in the same calendar. When you build a superbill, sessions named as groups are suggested as 90853, and you can change any line before the PDF is generated.

Workflow 3

Prepaid credits and reduced-fee spots

Clients who come weekly buy a block of session credits in the portal, and each completed session draws one down, so you are not chasing payments. For reduced-fee spots, create a promo code that discounts the session at checkout instead of keeping a separate list of who pays what.

What practice management software for counselors should include

Online booking checks every slot on the server before confirming it, so two clients cannot take the same hour and no one can book a date in the past. E-signatures cover intake, consent and releases. Session credits let weekly clients prepay. The client portal brings it together for clients, under your own name.

Forms: send intake, informed consent, telehealth consent and privacy notices; clients sign them in the portal.

Superbills for out-of-network clients

Many counseling clients pay privately and claim part of the fee back from their insurer. A superbill missing an NPI, tax ID or diagnosis code gets rejected, and building one by hand each month takes unbilled time.

The CPT codes counselors bill most, ready on every superbill

Prexella suggests a code from each session's length and type, and you confirm or change it before the PDF is generated. You choose the diagnosis; Prexella formats it.

CodeWhat it covers
90791Psychiatric diagnostic evaluation (the intake session)
90832Psychotherapy, 30 minutes
90834Psychotherapy, 45 minutes
90837Psychotherapy, 60 minutes
90853Group psychotherapy

Every Prexella superbill carries your practice name, credentials, NPI, EIN, license number and taxonomy code, the client's details, the ICD-10 diagnosis you enter, each date of service with its CPT code and place of service, and the fees paid. The full field list is on the superbill feature page.

How Prexella compares with SimplePractice

SimplePractice is the system many counselors start with. The full side-by-side is in Prexella vs SimplePractice, and a wider comparison is in SimplePractice alternatives.

SimplePractice is a strong choice if you bill insurance heavily or want its clinical documentation and AI add-ons. Prexella fits better when most clients pay privately, you want your practice's own brand on booking and the portal, and you want marketing in the same system.

Pricing

Prexella is priced as one flat fee for the practice rather than per clinician, so bringing on an associate counselor does not multiply your software bill. Request a demo and you will get a quote for your practice on the call.

What switching looks like

Export what your current system lets you export, have your services, forms and branding set up in Prexella, send new bookings to your new booking page, and let existing appointments finish in the old system. The steps are on how to switch to Prexella. For colleagues, see the pages for therapists, psychologists and marriage and family therapists.

Frequently asked questions

Does Prexella work for LPCs, LMHCs and LCPCs?

Yes. The license title does not change how the system works. Your credentials, NPI, license number and taxonomy code are entered once in billing settings and appear on every superbill.

Can I run group counseling sessions?

Yes. Create a group session type with its own fee and duration. Group sessions sit in the same calendar as individual clients and are suggested as CPT 90853 on superbills.

Are the e-signatures legally valid?

Signatures are collected with the consent, typed name, drawn signature, timestamp, IP address and device recorded, the elements the ESIGN Act and UETA rely on. Check your state board's rules for any form that needs extra steps.

Can clients choose between telehealth and in-person sessions?

Yes. Clients pick the visit type when they book. Telehealth clients get your video link by email; the session runs in the HIPAA-ready video tool you already use, such as Doxy.me or Zoom for Healthcare.

Can I offer a sliding scale?

There is no separate sliding-scale table, but you can create promo codes that discount a session at checkout, or set up a reduced-fee session type, so each client pays the agreed rate when they book.
