Why social workers need practice management software for social workers, not an agency EHR

Clinical social workers who move into private practice often arrive from agencies and hospital systems that ran on large EHRs someone else paid for and configured. In private practice the same work lands on you: scheduling, collecting fees, sending forms, producing superbills, reminding clients, and keeping records. Stitching together a calendar app, a payment link and a forms service works until the caseload grows, and then the gaps show: payments that do not match sessions, forms that never came back, superbills built by hand at month end.

Prexella replaces that patchwork with one record per client. A booking creates the client, forms are signed in the portal before the first session, each session carries its payment, and superbills are built from sessions that already happened.

Built for clinical social workers

Workflow 1

Leaving agency work: a full private practice in a week

Many LCSWs open a private practice alongside or after agency employment. Prexella gives you the whole front office at once: a booking page on your own domain with card checkout, intake and consent forms clients sign in the portal, reminder emails the day before each session, and a dashboard showing every booking. The team sets up your services, fees and forms on a call, so you are not configuring software in the evenings.

Workflow 2

Out-of-network clients: superbills with your LCSW details

Clients who pay privately and claim out-of-network benefits need a superbill their insurer accepts. Prexella fills in your name, LCSW credential, license number, NPI, EIN and taxonomy code from your billing settings, pulls the client's completed sessions, suggests 90832, 90834 or 90837 from each session's length, and adds the ICD-10 code you enter. The client gets a PDF; you skip the formatting.

Workflow 3

Measurement-based care without paper

Assign PHQ-9 and GAD-7 check-ins in the client portal and the scores are saved to the client record. If a client answers above zero on the PHQ-9 self-harm item, the portal routes them to the C-SSRS and the result is flagged for you, so a risk signal does not sit unread in a stack of forms.

Everything a private-practice LCSW uses

The online booking page checks each slot on the server before confirming it, so no two clients take the same hour and no one can book a past date. The client portal is where clients reschedule, sign forms, message you and complete screenings. Telehealth and office sessions share one calendar; clients receive the join link by email, and the video runs in the HIPAA-ready tool you already use.

Superbills that carry your credential

The CPT codes LCSWs bill most, ready on every superbill

Prexella suggests a code from each session's length and type, and you can change any line before the PDF is generated. You choose the diagnosis; Prexella formats it with your NPI and EIN.

CodeWhat it covers
90791Psychiatric diagnostic evaluation (the intake session)
90832Psychotherapy, 30 minutes (16–37 minutes of therapy)
90834Psychotherapy, 45 minutes (38–52 minutes)
90837Psychotherapy, 60 minutes (53 minutes or more)

Every superbill lists your practice details, credential, NPI, EIN and license number, the client's details, the ICD-10 diagnosis you enter, and each date of service with its CPT code, place of service and amount paid. The full field list is on the superbill feature page, and the therapy CPT code reference explains what each code covers.

SimplePractice includes video in every plan and lists more clinical documentation tools than Prexella. Prexella fits LCSWs whose clients mostly pay privately and who want their own brand and marketing in the same system. Pricing

Prexella is one flat fee for the practice rather than per clinician, so adding an associate does not multiply your software bill. Request a demo for a quote for your practice.

Getting started

Export what your current system lets you export, have your services and forms set up in Prexella, and run both for one billing cycle. The steps are on how to switch to Prexella. Social workers who also see couples may want the page for marriage and family therapists, and the general therapist page covers prepaid packages in more depth.

Frequently asked questions

Can my superbills show my LCSW credential and license number?

Yes. Your name, credential, license number, individual and group NPI, EIN and taxonomy code are saved once in billing settings and printed on every superbill.

Do I need a separate system for intake and consent forms?

No. Intake, informed consent, telehealth consent, a notice of privacy practices and releases are sent from the dashboard and signed in the client portal with an ESIGN and UETA audit trail.

Can I see telehealth clients in other states?

Prexella schedules telehealth and in-office sessions and records which one the client chose. Whether you can treat a client located in another state depends on your license and that state's rules, which you should confirm with the relevant boards.

Does Prexella support sliding-scale fees?

There is no sliding-scale setting. You can create a reduced-fee session type or issue promo codes that clients enter at checkout, and Prexella validates the discount on the server.

Is there a contract or setup fee?

Prexella is priced as one flat fee for the practice and set up for you. Terms are explained on your demo call along with a quote for your practice.
