Why dietitians need practice management software for dietitians, not a generic scheduler

Dietitians in private practice juggle cash-pay clients, clients claiming out-of-network benefits for medical nutrition therapy, and follow-up schedules that run for weeks. Generic scheduling tools handle the calendar but not the time-based MNT codes, the prepaid follow-up packages or the forms clients need to sign before the first visit.

Prexella keeps it in one record per client: the booking, the signed forms, the payments or credits, and the superbill built from the visits that took place.

Built for dietitians and nutritionists

Workflow 1

Initial assessment to follow-up plan

A new client books an initial assessment on your booking page, chooses telehealth or in office and pays by card. Intake and consent forms are signed in the portal before the visit. Follow-up visits can be booked as a weekly package in one checkout, so the plan you agree on is already in the calendar when the client leaves.

Workflow 2

MNT superbills for out-of-network clients

Medical nutrition therapy is billed in time units. Add 97802 for an initial assessment or 97803 for a re-assessment with the number of 15-minute units, or 97804 for group visits in 30-minute units. Prexella adds your NPI, EIN, license number and taxonomy code and the ICD-10 code you enter, and the client downloads a PDF to claim reimbursement.

Workflow 3

Prepaid packages for cash-pay clients

Clients who pay privately can buy session credits in the portal, and each completed visit draws one down. Prexella emails clients when their credits run low and before the last session of a package, so renewals do not depend on you remembering.

Everything a nutrition practice uses

Online booking checks every slot on the server before confirming it. Session credits let clients prepay for follow-ups. The client portal is where clients sign forms, reschedule and message you, and telehealth visits sit in the same calendar as office visits.

MNT superbills

Medical nutrition therapy codes, ready on every superbill

MNT codes are billed per time unit, so enter the units for each line. You choose the diagnosis and confirm each code; Prexella formats them. Coverage of MNT varies by plan and diagnosis, so clients should confirm their benefits.

CodeWhat it covers
97802Medical nutrition therapy, initial assessment, each 15 minutes
97803Medical nutrition therapy, re-assessment, each 15 minutes
97804Medical nutrition therapy, group, each 30 minutes

Every superbill lists your credential, NPI, EIN and license number, the client's details and diagnosis, and each date of service with its code, units and fee. See the superbill feature for every field.

A typical week in a nutrition practice

Monday starts with the dashboard: the week's assessments and follow-ups, which clients still have unsigned intake forms, and whose credits are running low. Prexella has already emailed the clients with low balances and those approaching the final visit of a package, so the renewal conversation starts without you.

During the week, reminder emails go out the day before every visit, with the join link for telehealth clients. New clients book themselves from your booking page, pay at checkout and sign their forms in the portal before they arrive, so the first visit is spent on the assessment rather than paperwork. Clients who want to reschedule do it from the portal within the rules you set.

At month end, generate superbills for clients claiming out-of-network benefits in one click each, with the MNT codes and units already on each line, and review income by date of service in Finances. If you run group classes, add 97804 lines for the group visits on the same superbill.

Getting started

The switching guide lists the steps for moving from your current system. Coaches working alongside you may want the coaches page.

On the setup call the team configures your assessment and follow-up visit types, fees, package options, intake and consent forms, and your branding and domain. You share the new booking link with current clients, and new visits, payments and superbills run in Prexella from then on while older records stay in your previous system for retention.

Frequently asked questions

Can I put 97802 and 97803 on a superbill?

Yes. 97802, 97803 and 97804 are in the superbill code list. Enter the number of units for each line, add the ICD-10 code you choose and generate the PDF.

Does Prexella include meal plans or food logs?

No. Prexella covers booking, payments, packages, forms, superbills and the client portal. If meal planning and food logging are central to your practice, a nutrition-specific platform such as Healthie may fit better.

Can clients choose telehealth?

Yes. Clients choose telehealth or in office when booking, both appear in one calendar, and telehealth clients receive the join link by email. The video runs in your own HIPAA-ready tool.

Can I sell a package of follow-up visits?

Yes. A package books weekly visits in one checkout, and clients can also hold session credits in the portal.

Will clients see Prexella's branding?

No. Booking, the portal and emails carry your practice name and domain.
