Weekly client: prepaid sessions instead of invoices

Move a returning client onto a recurring weekly slot. They buy a block of session credits in the portal, and each completed session draws one down, so there is nothing to chase at the end of the month. Reminder emails go out the day before every session, and telehealth clients get the video link in the same email.

Out-of-network client: a superbill at the end of the month

Pick the client and the month. Prexella pulls their completed sessions, suggests a CPT code from each session's length, adds your NPI, EIN, license number and the ICD-10 code you enter, and produces a PDF the client can submit to their insurer for reimbursement. You stay out of network; the client still gets money back.

The online booking page checks every slot on the server before confirming it, so two clients can never take the same hour and nobody can book a date in the past. The client portal is where clients reschedule, sign forms, message you and complete check-ins. Session credits let clients pay ahead. Superbills without the spreadsheet

A superbill is often what makes private-pay therapy affordable for a client: they pay you, then claim part of the fee back from their insurer as an out-of-network benefit. The catch is that a superbill missing an NPI, a tax ID or a diagnosis code gets rejected, and formatting one by hand at the end of each month takes time you do not bill for.

Every Prexella superbill carries your practice name, credentials, NPI, EIN, license number and taxonomy code, the client's details, the ICD-10 diagnosis you enter, each date of service with its CPT code and place of service (office, or telehealth from the client's home), and fees paid. SimplePractice is a strong choice if you bill insurance heavily or want its AI note tools; it lists more clinical documentation features than Prexella does. Prexella is the better fit when your clients mostly pay privately, you want the practice to carry its own brand, and you want marketing in the same system as scheduling.

Frequently asked questions

Is Prexella only for cash-pay therapists?

It is designed for private-pay and out-of-network practices. Superbills cover clients who claim reimbursement themselves, and the insurance billing workspace lets an in-house or outsourced biller prepare claims if you also take insurance.

Can I use my own website and domain?

Yes. Booking, the client portal and every email run on your domain with your practice name. Clients do not see Prexella's name.

Does Prexella include video for telehealth?

Prexella schedules telehealth and in-office sessions in one calendar and sends clients the join link by email. The video itself runs in the HIPAA-ready video tool you already use, such as Doxy.me or Zoom for Healthcare.

Can clients prepay for a block of sessions?

Yes. Clients buy session credits in the portal and each completed session uses one. You can see every client's balance from the dashboard.
