What makes practice management software for marriage and family therapists different

Couples and family work breaks the assumptions most scheduling tools make. One booking can involve two or more people, consent has to come from each adult, sessions are often on a fixed weekly rhythm around school and work schedules, and the billing codes differ from individual therapy. An MFT practice built on a generic scheduler ends up tracking who signed what in a spreadsheet and correcting codes on every superbill.

Prexella handles couples and family sessions as their own session types with their own fees, sends consent forms to each person, keeps telehealth and office visits in one calendar, and suggests the family therapy codes on superbills.

Built for marriage and family therapists

Workflow 1

Couples intake: one booking, consent before the first session

A couple books a couples session on your booking page, chooses telehealth or in office and pays by card. You send informed consent and the telehealth consent from the dashboard, and each form is signed in the portal with a typed name, drawn signature, timestamp and IP address recorded. You start the first session with consent already on file.

Workflow 2

Family sessions on a weekly rhythm

Families often need the same slot every week around school and work. Put the family on a recurring weekly session and the calendar holds that time, with a reminder email the day before. Hybrid families can switch between telehealth and office visits because both sit in the same calendar.

Workflow 3

Superbills that get the family codes right

Prexella suggests 90847 for sessions named as couples or family sessions and lets you switch a line to 90846 when the identified client is not present. Your NPI, EIN, license number and the ICD-10 code you enter are added, and the client downloads a PDF to submit for out-of-network reimbursement.

Everything an MFT practice uses

Online booking lists each session type with its length and fee and checks every slot on the server before confirming it. E-signatures record the consent statement, typed name, drawn signature, timestamp, IP address and browser for each signer. The client portal is where clients reschedule, message you and buy session credits.

Superbills for couples and family sessions

SimplePractice includes group video and lists more clinical documentation tools. Prexella is the better fit if your clients mostly pay privately and you want your own brand and prepaid packages. Running a relational practice day to day

Relational work creates administrative edge cases that individual practices rarely see. A couple may book together but pay separately; a parent may book a family session while a teenager attends the telehealth portion from school; one partner may start individual sessions alongside the couples work. Prexella keeps each person as their own client with their own email, portal account and signed forms, while the session itself sits once in the calendar under the session type you created for it.

Late changes are handled the same way for everyone. Clients reschedule from the portal within the rules you set, and late cancellations inside 48 hours are applied to their credits automatically, so you are not negotiating fees with a couple at the end of a hard session. Messages stay inside the portal rather than in personal texts, and every form, payment and session is visible on the client record when you prepare for the next appointment.

If you are growing a group practice, the flat practice fee means bringing on an associate does not add a seat to your bill.

Prexella is one flat fee for the practice, so adding an associate MFT does not add a seat fee. Request a demo for a quote.

Getting started

The switching guide walks through moving from your current system in one billing cycle. If you also see individual clients, the therapist page covers that workflow, and social workers and counselors have their own pages.

Frequently asked questions

Can both partners sign the consent forms?

Forms are sent to a client's email and signed in that client's portal. For couples, send the consent form to each partner so each signs with their own audit record.

Which CPT code does Prexella use for couples sessions?

Sessions named as couples or family sessions are suggested as 90847. You can change any line to 90846 or another code before generating the superbill. Whether a couples session is reimbursable depends on the client's plan and diagnosis.

Can I offer telehealth to one family and in-person to another?

Yes. Each client chooses telehealth or in office when booking, both appear in the same calendar, and telehealth clients receive the join link by email. The video itself runs in your own HIPAA-ready tool.

Can families prepay for a block of sessions?

Yes. Clients can buy session credits in the portal, and each completed session draws one down. You can see balances from the dashboard.

How do I move from my current system?

Export your client list and documents, have your session types and forms set up in Prexella, then run both systems for one billing cycle. The switching guide lists the steps.
